Comparison
UltimateCRM vs Redtail
Redtail is the most widely used CRM in the advisory world, and it earned that position. Here's an honest look at where it shines, where UltimateCRM takes a different path, and how to decide which fits your firm.

Where Redtail is strong
Redtail has been the default advisor CRM for two decades. It has a very large partner marketplace, deep integrations across custodians and planning tools, and — since its acquisition by Orion — a natural home inside the broader Orion tech stack. Its database-centric pricing can be economical for teams with many users in one database, and there is no shortage of consultants and training material for it. If your firm is committed to the Orion ecosystem or depends on a specific niche integration, Redtail is a safe, proven choice.
Where UltimateCRM takes a different path
Households, not contact records
Redtail is contact-centric: people are records, and family linkage is a convention layered on top. In UltimateCRM every contact lives in a household — notes, tasks, documents, and activity roll up across the family, files live in a per-household folder tree, and the financial picture belongs to the household because that's how real families work. If you've ever hunted through three related contact records for a document, this is the difference you'll feel daily.
Planning is built in, not bolted on
Redtail is a CRM; planning happens in a separate tool with a sync (and a second copy of the truth). UltimateCRM includes net-worth tracking, tax-aware planning views, and a full lifecycle Monte Carlo retirement engine driven by the same household wealth profile your CRM data lives in. Enter it once; every view agrees.
Books and records are captured, not assembled
Redtail records activities and notes, and telephony/archiving typically comes from additional vendors. UltimateCRM natively captures Outlook email, calendar, and — via RingCentral — calls, texts, voicemail, and recordings into each contact's timeline and a firm-wide archive with retention controls. When the examiner asks for communications, you export instead of assembling. (See why text capture matters.)
Security you can actually read about
We publish our architecture in plain language — AES-256-GCM envelope encryption with per-firm keys, PostgreSQL row-level security for tenant isolation, passkey sign-in. Read the security page and compare it to any vendor's.
AES-256 is the algorithm standardized in FIPS 197, and AES-GCM is a FIPS 140-3 approved mode (NIST SP 800-38D). Both NIST and the NSA (CNSA 2.0) rate AES-256 as resistant to attack by quantum computers.

How to decide
- Count your tools: if Redtail + planning software + an archiving vendor costs more than one integrated platform — in dollars or in data drift — that's your answer.
- If a specific integration is mission-critical, verify it exists on both sides before anything else.
- Run a real household through both during a trial: intake, a planning question, and "show me every communication with this client."
